Old Business:  

Wilderness Retreat Protocols and Payment Process

The board discussed some financial and procedural confusion about the registration for last year’s Mt Adams Circumambulation hiking retreat. To minimize future confusion, the Board recommends that all retreats have an acting registrar present at the retreats.

2. Spiritual Director’s Contract

Edie and Tim signed the SD contract. The attorney’s fee of $225 for help with contract development has been paid. Copies of the SD contract will be available at the annual meeting on February 4, 2017.

3. Changes to RCZC ByLaws

Edie presented proposed changes to RCZC Bylaws to reflect Tim’s new role as ex-officio board member and the addition of the At-Large Director. These changes in the bylaws were reviewed and ratified by the Board. The revised bylaws will be posted on the website.

4. Update on Annual Fund Video

Ken has completed production of the fundraising video and will have it uploaded to the website soon.

5. Workgroup Board Support Reporting Schedule

Reviewed Board workgroup assignments and reporting dates. Board members are assigned to assist and support workgroup leaders; get feedback and progress reports, and report back to the Board at least twice a year.

6. Report on Kenya Project

Tim reported that he raised $2400 for his Kenyan family. The agricultural pump is being used and the money for Donnetter’s education is in process and we’ve funded the first year, but she’s doing a course in acquired computer skills while awaiting admission to the University in the Spring.. Contributions came from RCZC members and Mindfulness Northwest retreat participants. Tim will remind the sangha again next year of the opportunity to support Donnetter’s education.


New Business:

1.  Bellingham Insight Meditation Society (BIMS)

BIMS is one of the renters at RCZC and has requested clarification regarding rental income for all users of Red Cedar Dharma Hall.  Edie will follow up on this request and suggested that anyone interested in the Red Cedar rental payments, income and expense can find information on our website under Accounts Business - Workgroups - Finance Workgroup - Financial Records - Q Reports.

2. RCZC as Sanctuary for Immigrants

Andrea requested the Board's consideration of RCZC being designated a sanctuary for immigrants.  Questions included: What does that designation involve? That conversation will continue.

3. Annual Meeting

The RCZC annual meeting is scheduled for February 4, 2017. Agenda for the meeting includes: Financial report; Tim's change of status, contract, performance standards and Report and Review, and the RCZC 2017 calendar.

4. President Edie Norton's Last Board Meeting

 December 7 was Edie's last Board Meeting. The Board thanked Edie for her years of distinguished leadership and service as President of RCZC Board of Directors.
